Search Barbour County Cases

To pull a case in Barbour County, first figure out which court holds it. The Circuit and Family Courts share one public system for their records. Magistrate cases sit in a separate one. Any Barbour County case lookup works by party name or an exact case number, and you can open the public case detail from there. Records that are not online must come from the right clerk. Probate and municipal matters each take their own local route. Treat search results as leads rather than certified proof. The best lookup matches the county, the court, the case type, the number, and the filing date. Then scan the docket in order for transfers, later events, and the current status.

How to Search Cases by Name

Choose the portal by court. WVPASS covers public Circuit Court records, including the circuit/family record structure. MCRSearch covers Barbour Magistrate Court. Probate belongs with the County Clerk, and a city ordinance case belongs with the municipal court.

  1. Identify Circuit, Family, Magistrate, probate, or municipal court from the notice.
  2. Open the matching official search and enter the last and first name as printed.
  3. Compare county, court, case type, filing date, and number among likely matches.
  4. Open case detail and read the status, events, and docket entries.
  5. Ask the proper clerk to confirm an uncertain match or supply a copy.

WVPASS and MCRSearch Split

The state court-record access page routes Circuit searches to WVPASS and Magistrate searches to MCRSearch. Neither is a universal Barbour County database. WVPASS offers free case browsing and public document images for purchase. MCRSearch is free without registration, returns up to 30 records, and does not post filed documents.

The official routing page is shown here:

Selecting the court first avoids searching the right name in the wrong system.

How to Search by Case Number

Copy punctuation and leading zeros exactly. An observed Barbour Magistrate example is 19-M01M-00690. Official sources do not publish a full county codebook, so do not rebuild or guess a number. A Circuit transfer can create a later Circuit number while the original Magistrate entry remains.

If the exact search fails, try the party name and then contact the clerk. WVPASS coverage begins July 1, 1999, and MCRSearch does not promise every older record.

Transfer entries connect two records rather than merging them. A felony complaint may begin in Magistrate Court, where the docket records the complaint, bond, preliminary-hearing activity, and transfer. Circuit Court then assigns its own action number. Keep both numbers and search both systems. The Magistrate Clerk supplies documents from the first file, while the Circuit Clerk supplies the later Circuit documents.

Barbour Common-Name Search Fixes

MCRSearch may return no more than 30 records. Narrow a common name with the exact case number when available, then compare county, location, case type, and filing date. Do not assume the first result is the right person.

No result is not no case. Check spelling, the alternate court, the coverage date, a transfer, and access limits before calling the correct clerk.

The Circuit Clerk can be reached at 304-457-3454. The Magistrate Clerk is at 304-457-3676.

What a Case Search Shows

A Barbour County result can lead to a case header and chronological detail. Read the header separately from events and docket entries. “Closed” on one event does not necessarily mean the case is disposed.

Case numberThe court's identifier, copied exactly.
PartiesNames and roles in the case caption.
Case typeCriminal, civil, family, traffic, or another category.
Filed dateWhen the matter entered that court.
StatusThe current public case status when entered.
EntriesFiling date, code, description, and filed-by data.

Magistrate detail can extend beyond the header. Observed fields cover party roles, charges, plea and disposition data, bond activity, settings, and docket entries. Each docket entry may show its record number, filing date, code, description, and filed-by field. These fields describe the court history, but a description is not the attached paper and a disposition entry is not automatically a certified judgment.

Barbour Case Detail Is Layered

A result row is only the first layer. Opening it exposes case detail. Docket entries then identify filed papers and orders. An entry is not the attached document itself. WVPASS may offer a public image for $0.25 per page plus a card charge, but that download is not certified. MCRSearch provides no online document images.

The official MCRSearch entry screen shows its disclaimer and access gate:

For a Magistrate filing, request the paper from the Magistrate Clerk rather than looking for a download button.

County vs Statewide Case Search

West Virginia uses statewide court-specific services, not a separate Barbour trial-court portal. Local clerks remain the county access point for inspection, copies, old files, and unclear results.

Online statewide serviceBarbour clerk channel
WVPASS for Circuit; MCRSearch for MagistrateCircuit Clerk or Magistrate Clerk
Fast public case detail; some WVPASS imagesSupervised inspection and copy requests
Best for a current searchable caseBest for missing, older, restricted, or certified records

WVPASS registration is free and supports the document account process, but public case browsing does not require buying a document. Available public images cost $0.25 per page plus a card-processing charge. MCRSearch requires its CAPTCHA, permits name or number searches without registration, caps displayed results at 30, and offers no document images. Neither service promises a complete historical record.

The online services also do not replace in-person inspection, phone routing, or a reasonably specific mailed request. The Circuit Clerk counter is at 26 North Main Street, Suite 2, Philippi, and the Magistrate Clerk is at 47 Church Street, second floor. No Barbour-specific bulk subscription, public terminal service, or dedicated docket-copy email workflow was found. Confirm a request method before sending sensitive details.

County Clerk Search Is Different

The Barbour County Clerk's document inquiry concerns county documents and probate functions. It is not WVPASS and does not replace the Circuit or Magistrate docket. The similar office names often cause a routing error.

Circuit and Family cases go to Circuit Clerk Gerald Fogg at 26 North Main Street, Suite 2. Magistrate cases go to Magistrate Clerk Danah Alth at 47 Church Street, second floor. Probate goes to the County Clerk. A city ordinance matter goes to its municipal court or clerk.

Restricted Cases and Access Rules

Public access has limits. Juvenile records are generally confidential under West Virginia Code §49-5-101. In family matters, orders are public while pleadings, exhibits, and most other documents are confidential under Chapter 48. Sealed records and protected personal data also may be absent or redacted.

A public case header does not promise access to every document. Ask the clerk about the lawful process when a known case is missing. Do not try to evade a restriction, and do not treat an empty result as proof that no matter exists.

When a result is missing, test the exact printed number, then the party name and alternate spelling. Confirm that the search is in the correct court and that the matter is not probate or municipal. For a WVPASS case, consider the July 1999 coverage boundary. For MCRSearch, an older record or a result beyond the 30-item cap may require direct clerk help.

Barbour Clerk Access Fallback

Search is only one channel. A person may inspect available records at the correct clerk counter, call to identify the record, or mail a reasonably specific request. Include the court, case number, approximate date, requested entry or document, copy type, return address, and contact details. Confirm payment and postage first.

The clerk can supply a plain or certified copy when authorized. The known Circuit paper-copy rate is $1 per page for paper furnished for use outside the office under §59-1-11. Current certification and local Magistrate copy charges were not located in official sources and must be confirmed.

No official Barbour bulk service, dedicated docket-request email, or proven public terminal was found. Phone staff need not read an entire file aloud. Request supervised inspection or a copy path instead.
